Privacy Policy
Last Updated: July 20, 2026
1. Introduction
Instant Inventory respects your privacy. This Privacy Policy explains how we collect, use, and protect your information when you use our mobile application and website.
2. Information We Collect
- Account Information: Name, email address, account identifier, and authentication data (via Apple, Google, or email).
- Inventory Data: Room video recordings, which may contain ambient audio, plus receipt and item images you choose to attach.
- AI-Generated Data: Asset lists, estimated values, and descriptions generated by our AI processors.
- Comparable Pricing Data: Item names, categories, condition notes, shopping-comparable source links, source titles, and observed replacement prices used to support estimated values.
- Purchase Information: Product, app-store transaction, purchase environment, gift-link status, license assignment, redemption, and refund status used to fulfill property licenses. If a purchaser asks us to deliver a gift link, we use the recipient email address they provide to send that message; entering an address does not reserve or assign the gift. We do not store complete payment-card details. New mobile licenses are processed by Apple or Google with RevenueCat purchase verification. Historical Stripe records may be retained for settlement, refunds, disputes, fraud prevention, and legal obligations.
3. How We Use Your Data
We use your data to provide and protect the Service, specifically:
- Processing your video uploads to identify and catalog personal property.
- Extracting image frames from video and using item details to search for replacement-value comparables.
- Generating editable home-inventory PDFs for your personal documentation.
- Verifying purchases, generating opaque gift links, assigning a gift to the first authenticated recipient who claims it, restoring eligible purchases, preventing duplicate fulfillment, and handling refunds.
4. AI & Third-Party Processing
We use Google Gemini to analyze sampled image frames, Supabase for account and application data, Amazon Web Services for private media and report storage, RevenueCat and the applicable app store for current purchase fulfillment, Stripe for historical payment reconciliation, Sentry for privacy-filtered error diagnostics, and PostHog for privacy-filtered product events. Extracted image frames, item labels, and comparable-search queries may be transmitted to processors solely to provide the Service. Telemetry is configured not to capture recordings, reports, addresses, email addresses, serial numbers, access tokens, or raw payment events.
5. Storage, Retention & Deletion
Inventory videos, extracted data, evidence attachments, report snapshots, and comparable metadata may be stored in cloud infrastructure. Deleted items, scans, and properties remain recoverable for 30 days before scheduled purge. Account deletion revokes report links and removes active account-linked inventory and media without that recovery period. Minimal payment, fraud-prevention, security, dispute, and backup records may be retained where legally required.
6. Report Sharing
When you create a report link, the Service stores an immutable PDF snapshot and creates a hard-to-guess link. The link does not expire automatically, but you can revoke it. Anyone who receives an active link can view that snapshot, so share it only with intended recipients.
7. Data Security
We use encrypted network transport, private object storage, access controls, signed upload destinations, and restricted report-share tokens. However, no method of transmission or storage is completely secure.
8. United States and Canada
The initial Service is intended for customers in the United States and Canada. Report estimates are labeled in USD; app-store purchase prices may be localized by the applicable storefront.
